This policy explains how images, audio, and video (“Media”) may be created and used in MKW spaces, and how we protect participant privacy. It applies to retreats, circles, 1–1 sessions, online gatherings, and our digital channels.
1) Core Principles
Consent-first: no participant is required to appear in media. We prefer opt-in over opt-out.
Safety & dignity: no filming during sensitive moments (e.g., purging or intense processes).
Confidentiality: personal shares are private; stories belong to the person who shared them.
Minimalism: capture only what is needed; default to no capture during deep practices.
Transparency: participants can see, question, and control how their image/voice is used.
2) Media Zones & Timing
Arrival/Closing: light, optional photos before opening and after closing.
During practices: no recording by default. Any exception requires prior announcement and clear consent (see §§4–6).
Private 1–1 sessions: no media unless explicitly requested by the participant and approved by MKW in writing.
3) Participant-Created Media (Phones & Cameras)
Do not film/photograph others without their prior written consent.
Group shots: require consent from everyone visible.
Quiet blocks: devices away.
Posting online: if other people appear, blur/crop or get written permission first. Do not post private shares or sensitive moments.
4) MKW-Created Media (Official)
MKW may designate a media person only in pre-announced moments (e.g., opening or closing group photo).
No close-ups of individuals without consent.
No capture of purging, tears without consent, or medically/psychologically sensitive scenes.
We avoid capturing identifiable medication, medical devices, or private notes.
5) Consent Badges (Simple On-Site System)
Green (YES): I consent to appear in group photos/videos; MKW may use on website/social.
Yellow (LIMITED): group shots at a distance only; no close-ups, no tags; anonymize if possible.
Red (NO): do not capture me; if I appear by accident, blur/remove on request.
Wristbands/badges or a check-in list will indicate each person’s preference.
6) Media Consent Form (What You Agree To)
When you choose YES/LIMITED, you allow MKW to:
Capture your image/voice in photos/audio/video at the specified event and moments.
Use on MKW channels: website, newsletters, printed flyers, and MKW social media.
Edit lightly (crop, color, audio balance) without misrepresentation.
Not sell your image to third parties or use it in defamatory/misleading contexts.
Credit/anonymity: default to first name only or anonymized on request.
Revocation: you may withdraw consent for future uses at any time (see §12).
If you prefer not to appear, choose Red (NO) or tell us at check-in.
7) Testimonials (Written/Recorded)
Voluntary: optional; may be edited for length/clarity without changing meaning.
No medical claims: your story is personal; MKW avoids publishing content that reads as a therapeutic promise.
Attribution: first name only or anonymized (“Participant, 2025”), per your choice.
Approval: when feasible, we share the final text/video for quick approval.
8) Privacy: What We Collect & Why (Media Context)
What: photos, short videos/audio within consented zones; your consent preference (Green/Yellow/Red) and time/date of consent; your testimonial if you provide one.
Why: to safely document community moments; inform potential participants; share integration insights (anonymized when private).
Legal basis: your consent + MKW’s legitimate interest in safety/operations.
No sale of data: MKW does not sell participant media or contact lists.
9) Storage, Security & Retention
Storage: encrypted drives/cloud with access limited to MKW team members who need it.
Labeling: files tagged by event/date and consent color; sensitive raw footage separated.
Retention:
General photos/videos: up to 3 years (or earlier if consent is withdrawn).
Consent logs & takedown requests: up to 5 years for compliance.
Incidental captures of Red (NO): remove/blur promptly (see §12).
10) Confidentiality & Sensitive Moments
Never record private health info, clinical discussions, or deep confessions without explicit written consent.
Integration circles: no audio/video. Written takeaways are anonymized.
Kambô / Sananga / Rapé / Ice bath: default no capture; if a participant requests a personal keepsake, use their device with their consent only, avoiding others in frame.
11) Third-Party Platforms & Tags
Posting on social media means their privacy rules apply (e.g., Meta, TikTok, YouTube). MKW isn’t responsible for platform leaks/breaches.
Do not tag others without permission. Remove tags promptly upon request.
If a platform removes content under its policies, MKW may be unable to restore it.
12) Opt-Out, Takedown & Revocation
Change of mind: you can switch from Green/Yellow to Red (NO) at any time for future captures.
Takedown: if you spot an image/video of you that you want removed/blurred, contact us (see §18) with the link/screenshot and event/date.
Timeframe: we act in good faith to remove/replace/blur within a reasonable period (typically 7–15 business days); third-party platforms may take longer.
Past print runs: revocation cannot retract items already distributed, but we will cease future prints.
Reposts by others: we will request takedown where possible; some accounts may be outside MKW control.
13) Children & Vulnerable Persons
MKW does not accept minors under 18 and does not knowingly collect or display their images.
If any minor or vulnerable person is incidentally captured in a public venue, MKW will blur/remove upon notice.
14) Prohibited Media Uses
Defamatory, degrading, misleading, pornographic, or discriminatory contexts.
Pairing images with medical claims or promises of cure.
Selling or licensing participant images to third parties without new consent.
15) Participant Rights (Media & Privacy)
Access: ask what media of you we hold.
Rectification: request corrections to names/captions.
Erasure/Restriction: request removal, blurring, or limited use (subject to feasibility on third-party platforms).
Objection: object to non-essential uses.
Withdrawal of consent: stops future uses (does not retroactively pull already-distributed print runs).
16) Event Conduct (Media-Related)
Keep devices on silent; no bright lights/flash in circle spaces.
Do not interrupt practices to capture content.
Respect quiet hours and no-media zones set by facilitators.
17) Non-Medical Reminder
MKW’s work is spiritual/educational; media and testimonials do not constitute medical advice or therapeutic promises.
Consult your physician for health matters.

19) Updates & Jurisdiction
MKW may update this policy to reflect best practices or regulatory changes; the current version appears on our site.
We will first seek an amicable solution; otherwise, the law/jurisdiction of the activity’s location applies.
